The participant welfare team exists to help event participants who are unable to enjoy the event due to mental health issues or emotional distress. When crew members in other teams need support for participants in emotional distress that exceeds their capability to provide help, they can request welfare team support via radio. Crew members who are experiencing distress themselves can contact welfare by radio. &lt;br /&gt;
&lt;br /&gt;
Since emotional distress often accompanies other problems, the welfare team will frequently give and receive referrals with other teams. Welfare team support may be one side of a larger picture, and there may sometimes be a “revolving door” pattern to interactions between the welfare team and other specialised teams within the PD structure. The recurring nature of welfare situations makes it important to track information about the history of interaction with participants to enable effective work by later team members, while maintaining the privacy of the individuals involved. &lt;br /&gt;
&lt;br /&gt;
Members of the welfare team may have skills and experience in counselling, psychotherapy, or similar backgrounds. It is important to recognise, however, that the work of the welfare team at events does not aim to be therapeutic. Event participants and visitors to the welfare tent are not our clients or patients, and our work is closer to that of crisis helpline counsellors or of a good friend than that of a professional counsellor or psychotherapist. The goal of the welfare team is to assist participants move through the distress and help them attain a state where they can go back into the field and enjoy the event again, as quickly and as smoothly as possible. If that is not possible, and the best thing for them would be to go home, then the welfare team can call other teams to assist them in leaving site. &lt;br /&gt;

== Guiding Principles ==&lt;br /&gt;
There are five principles that guide the work that the welfare team does. &lt;br /&gt;

=== Treat People as Individuals === &lt;br /&gt;
It is all too easy to assign individuals to categories and then make generalisations and assumptions about them. This is to be avoided as it can lead to mistakes and oversights. Instead, treat the person in front of you as a unique individual, not just as &#039;&#039;a&#039;&#039; human being, but as &#039;&#039;this&#039;&#039; specific human being. By starting with the assumption that you know nothing about them, you will find yourself paying more attention to everything they choose to share. &lt;br /&gt;

=== Non-judgemental Acceptance === &lt;br /&gt;
It is likely that someone suffering from emotional distress may have compounded their problems by doing something foolish. It is not the welfare team’s place to judge them for their past actions. Accepting a person for who they are means forgetting questions of right and wrong and instead focusing on what is real. This does not prevent us from having opinions about people’s behaviour, if we can ensure that criticism of behaviour is not misinterpreted as criticism of the person. &lt;br /&gt;

=== Focus on Needs === &lt;br /&gt;
Everybody has both physical and emotional needs. When any of these needs are unmet, or our usual method of attaining them become unusable, we experience emotional distress. When all our needs are met, we feel good. While the conversation may wander in various directions, and the participant may want to talk about their experiences or history, the welfare team member should aim to focus on the question of needs. Which needs are being met? Which needs are not being met? Then the conversation can naturally progress to forming a plan of action that will help the participant achieve their unmet needs. It is important not to forget the basic physical needs; if someone is cold, wet and miserable then getting them warm and dry will often be the most effective means of improving their experience. &lt;br /&gt;

=== Autonomy === &lt;br /&gt;
We all need a sense of control over what happens to us and the freedom to make our own decisions and choices, which helps us to feel in charge of ourselves rather than overwhelmed by life. Sometimes, people really want you to take their agency: decide for them; reinforce a prior decision; fix their problem. Members of the welfare team should, wherever practically possible, encourage participants to think for themselves and choose their own course of action. We can help by offering options and making recommendations, but the final decision must remain with the participant. We are not there to solve their problems for them. &lt;br /&gt;

=== Confidentiality === &lt;br /&gt;
Except for the specific circumstances noted below, any information that is shared with a member of the welfare team must be kept confidential and not shared with anyone outside the team, either during the event or afterwards. You should therefore ask participants if it is ok for their whereabouts to be shared with concerned friends who come looking for them. &lt;br /&gt;
&lt;br /&gt;
Information may be shared within the welfare team in case the participant returns when the original team member is unavailable. Discussion between team members can also help us evaluate and improve our methods, and act as a way for team members to release any emotional distress they themselves may be experiencing because of interaction with participants. &lt;br /&gt;
&lt;br /&gt;
If a member of the team receives information that leads them to believe that a child is being neglected, abused or at risk of harm then this must be reported to a member of the management team and a missing child must be reported to security. Similarly, information about any other participant who is at risk of serious harm must be reported to first aid and/or security. If a participant informs the welfare team that they have been the victim of sexual harassment or assault at an event, then they should be gently encouraged to make a report to the conduct team. If they do not wish to make an official complaint, then the welfare team may make an anonymous report on their behalf. &lt;br /&gt;

There are also legal obligations that require disclosure of confidential information concerning serious crimes, particularly regarding the prevention of terrorism; members of the welfare team may disclose information to the appropriate authorities if it is required by law.&lt;br /&gt;

The circumstances noted above do not require permission to breach confidentiality. If a welfare team member believes that any other information should be shared outside the team then they must first obtain permission from either the participant who told them or from the head of the welfare team. Failure to follow this policy will result in removal from the welfare team. &lt;br /&gt;

== Process and Techniques == &lt;br /&gt;
While every situation is unique, the welfare team member should remember that the aim is always to get the participant to a state where they can go back into the field and enjoy the event. The methods listed in this section will be useful in most, if not all, situations. &lt;br /&gt;
&lt;br /&gt;
=== Calm === &lt;br /&gt;
Individuals undergoing overstimulation or emotional crisis often reach out toward anything they see as &amp;quot;solid&amp;quot; to reorient themselves with the world. Calm people with your presence and actions and example, not by telling them to calm down. It is hard to get people to calm down if you are acting anxious or angry. Never tell anyone to calm down. A useful warning sign is if you or the participant are starting to repeat yourselves. This may indicate something has gone wrong in the communication cycle. The speaker may feel misunderstood, or you may be getting overwhelmed or over-involved. If this happens, take a breath, slow down and ask different questions, or request help from another member of crew.&lt;br /&gt;

=== Building Rapport ===&lt;br /&gt;
Your communication can be effective only when received in a language the receivers can understand. You need to speak not in your own language or style of thinking but in the language and style of thinking of the receivers. The greater the matching of behaviours between two people, the more likely they are to feel themselves in emotional rapport, to like each other and be interested in what each other is saying. &lt;br /&gt;
&lt;br /&gt;
=== Empathy, Not Sympathy === &lt;br /&gt;
Empathy is a respectful understanding of what others are experiencing. The presence that empathy requires is not easy to maintain. Instead of empathy, we tend to have a strong urge to give advice or reassurance and to explain our own position or feeling. Empathy, on the other hand, requires focusing full attention on the other person&#039;s message. We give to others the time and space they need to express themselves fully and to feel understood. The key ingredient of empathy is presence: we are wholly present with the other party and what they are experiencing. This quality of presence distinguishes empathy from either mental understanding or sympathy. While we may choose at times to sympathise with others by feeling their feelings, it is helpful to be aware that during the moment we are offering sympathy, we are not empathising. Other common behaviours that prevent us from being sufficiently present to connect empathically with others include: advising, educating, consoling, diagnosing, and explaining. &lt;br /&gt;
&lt;br /&gt;
=== Attentive Listening ===&lt;br /&gt;
Listen. Do not interrupt. Wait until the end of a story or a pause in the conversation to ask a question, clarify a point, or consolidate information. People in emotional crisis often want an opportunity to talk at length about what they are thinking and feeling. Give them the time. Be aware of body language and gesture; this can provide important clues to a participant&#039;s actual state of mind. Be open, but not coercive or overtly directive. Let them tell the story in their own time and style. &lt;br /&gt;
&lt;br /&gt;
People in crisis often have an acutely keen sense for immediacy and sincerity. The simple fact that someone safe, sane, and sensible is paying close attention to them provides a powerful anchor in their internal turbulence. You need to bring your full authentic presence and focus to the situation. It can be hard to remain focused there, but compassion and patience are critical. You may not see the effect of your compassionate presence in their immediate presentation, but we are social creatures, and do not fail to notice when another human gives us their focused attention. If that attention is genuine and benevolent without attempting control, the internal effect can be powerfully reassuring.&lt;br /&gt;
&lt;br /&gt;
Of course, your first goal in listening is to provide emotional support to the participant. But another important goal is to gather information that may be helpful as we figure out how to care for them. This could include information like what happened, who else was involved, where they are camped, whether they have friends on site, and pre-existing medical or psychological conditions, etc. Some of these things you may be able to verify, some you probably will not. If necessary, take notes so that this information can be shared with other team members.&lt;br /&gt;
&lt;br /&gt;
Reflect thoughts, feelings, and behaviour. Reflection here means re-stating what a person has said using their own words and phrases. Reflection tells the participant that you are listening and care, giving them permission to discuss sensitive topics; it allows the participant to listen to their own thought processes and stories, heightening their self-awareness; and it allows the participant to confirm, correct, or amplify upon your understanding of what you have heard and seen. &lt;br /&gt;

=== Finding Solutions ===&lt;br /&gt;
Having built rapport and obtained information about the participant’s current situation, the next essential step is to ask the participant what their objectives are. When asking what they want, it is important to get the participant to think of goals which can be expressed positively and are specific, realistic, and achievable. Identify the first steps toward the goal and discuss how this might be achieved. If the participant has more than one problem, tackle the problems in order of their perceived importance to them. &lt;br /&gt;
&lt;br /&gt;
Involve participants in the decisions of what to do whenever you can: if they have chosen something, then they are in control of at least part of their lives. Guiding them to choices that are helpful is better than making those choices for them. Leave them space to be humans with self-respect, without encouraging them toward any further danger. &lt;br /&gt;
&lt;br /&gt;
Often, participants will solve their own problems. As you explore viable solutions with participants, you can have them rehearse a scenario of what each solution might look like. Be generous but truthful as to your own opinions regarding these solutions. Always ask the participant about what they realistically think the outcome of their proposed action will be, and whether it will be helpful to the situation at hand. If the participant doesn&#039;t know what to do about their situation, suggest some possibilities or engage in a little brainstorming. Remember, we are trying above all to help identify options for them, so they can solve their own problems.&lt;br /&gt;
&lt;br /&gt;
If the participant suggests behaviour or solutions that are bizarre, detrimental, or violent then don&#039;t disagree; instead ask them what the chain of consequences from the proposed behaviour might be, and whether it will really solve their problems or improve their situation. Be patient, even if the participant rambles. Rambling is common as they are using the time to organise and process events, emotions, and memories. There is often substantial iterative mental processing going on, which does not necessarily lend itself to coherent, linear trains of thought.&lt;br /&gt;
&lt;br /&gt;
=== Closure ===&lt;br /&gt;
Close the process with the participant themselves: re-narrate your understanding of their situation in brief terms to them as part of your farewell. They may have trouble tracking the whole thread of the crisis on their own - this wrap-up gives them a stable transition and helps frame how they will look back on it. &lt;br /&gt;
&lt;br /&gt;
When handing off with other teams, give a concise summary, and expect the same when receiving a handoff. Start with the basics, even if they could see them for themselves, then proceed to the most important nuggets of information, including anything practical you have done for them, and keep it short and focused. That kind of focused communication is not only good for the participant, it builds respect and trust between teams.&lt;br /&gt;
&lt;br /&gt;
Decompress - these can be emotionally intense experiences and swallowing them all alone is more foolish than heroic. We all have friends, and crew we respect, and the welfare team are happy to help volunteers find their own inner footing before it becomes a crisis. Give yourself time to sit down and run through the parts that bug you with someone else. Don’t do all that work alone. We all get into tough calls from time to time and are there to help each other back into our various grooves when we come out the other side of them. Respect the work you’ve done and allow yourself some support.&lt;br /&gt;

== Joining the Team ==&lt;br /&gt;
Current members of crew are welcome to apply to join the participant welfare team if they have experience of helping others using techniques similar to those above, are able to be emotionally empathetic to strangers, and can remain logical and objective in the presence of high emotion. If you have the relevant skills but wish to remain a member of another crew team then it may be possible to be a casual member of the welfare team, who we can call on as and when needed. One of the primary responsibilities of all Empire crew is that you will provide some basic support for players. Although all Empire crew have different responsibilities, with some in more player-facing roles than others, players attending the event have a legitimate expectation that crew who are asked will support them if they need help. For this reason you should be ready to provide basic help in the circumstances outlined below.&lt;br /&gt;
&lt;br /&gt;
In general this page complements the generic guidelines for helping players, which are laid out in our [[crew protocol]]. Those rules apply in all circumstances where a player asks you for help, but the situations below have their own, additional, requirements.&lt;br /&gt;
&lt;br /&gt;
==Cheating==&lt;br /&gt;
* &#039;&#039;&#039;Please try to ensure that every report of cheating involving specific individuals is reported to Graeme Jamieson or a head referee&#039;&#039;&#039;&lt;br /&gt;
* &#039;&#039;&#039;Generic reports of cheating involving entire nations should be ignored&#039;&#039;&#039;&lt;br /&gt;
&lt;br /&gt;
If you believe that you have seen a player cheating or you receive a report that a player is cheating, then please report this to Graeme Jamieson at the first available opportunity. Graeme can be contacted by radio, or is usually working in the Matt Bunker near monster.&lt;br /&gt;
&lt;br /&gt;
The most effective report is a first-hand account - ideally delivered in person. If you are speaking to a participant who is reporting an incident of cheating, please try to persuade them to make the report to Graeme in person. If they do not wish to do this then ask them if you can take the report to Graeme on their behalf - either openly or anonymously.&lt;br /&gt;
&lt;br /&gt;
We wish to chase up any report of cheating that involves one or more specific individuals - provided that there is some identifying information more specific than the characters&#039; nation. It is always best to have the names of the players accused of cheating, but a description of some kind is sufficient for us to chase a matter up.&lt;br /&gt;
&lt;br /&gt;
What we don&#039;t deal with is completely generic descriptions of cheating - it is extraordinarily unlikely that every single member of an entire nation of players is cheating, no matter what any individual claims. We cannot take action against an entire nation if some of their players are breaking the rules but we have no idea which ones. Be polite, ask for any identifying details and explain the difficulties involved.&lt;br /&gt;
&lt;br /&gt;
==Conduct==&lt;br /&gt;
* &#039;&#039;&#039;Try to ensure that any breech of conduct is reported to Emma Woods or a member of the conduct team&#039;&#039;&#039;&lt;br /&gt;
* &#039;&#039;&#039;Respect the wishes of the participant you are dealing with&#039;&#039;&#039;&lt;br /&gt;
&lt;br /&gt;
If a participant approaches you with a [https://www.profounddecisions.co.uk/empire-wiki/Reporting_discrimination_or_harassment report of harassment or discrimination], please stop what you are doing and give the person your full attention. Listen carefully to everything they say and then follow the simple guidelines laid out below:&lt;br /&gt;

* Ask them if you can arrange for a member of the conduct team to talk to them&lt;br /&gt;
* If they want to report, ask them if they have a friend who can accompany and support them (you may be the friend they are hoping will do this)&lt;br /&gt;
&lt;br /&gt;
Do not try to deal with the problem yourself, in particular do not make assumptions about the severity of the situation or whether it needs to be passed on. Ask the participant you are speaking to for permission to contact the conduct team - if they give you that then contact us as quickly as humanly possible.&lt;br /&gt;
&lt;br /&gt;
Please listen to the person who is talking to you and respect their wishes. If the participant does not give permission for you to contact the conduct team then you must not do so, but please consider the points laid out in the [https://www.profounddecisions.co.uk/empire-wiki/Conduct#Supporting supporting guidelines] written for all participants to see what help you can give. If a member of the hobby has chosen to approach you for help then it is likely that they will feel most comfortable with any help that you can give them.&lt;br /&gt;

&lt;br /&gt;
While all participants are expected to plan for and manage their own practical and emotional needs, sometimes things happen that are beyond their control. Participant Welfare (PW) are here to support participants — both players and crew — who experience unforeseen practical or emotional problems while on site.&lt;br /&gt;
&lt;br /&gt;
This support might be for practical issues, like missing or broken camping equipment, or for emotional support.&lt;br /&gt;
The Participant Welfare team does not provide therapy or counselling, but are trained to give short term support to people in emotional distress. &lt;br /&gt;
&lt;br /&gt;
If a participant brings an issue to you and you feel that we can help please contact us. If you are unsure, always [[Radio_protocol#Radio_Channels | radio in]]: we work with lots of departments on site, and if we are not able to help, we will support you in finding the department that can.&lt;br /&gt;
&lt;br /&gt;
&#039;&#039;&#039;Always&#039;&#039;&#039; [[Radio_protocol#Radio_Channels | radio Participant Welfare]] to request support — don&#039;t come directly to the PW tents. Our tents are shared with a number of departments, and we need to maintain a safe and confidential space for everyone using them.&lt;br /&gt;
&lt;br /&gt;
* We can be contacted on [[Radio_protocol#Radio_Channels | the appropriate channel]] any time between 8 a.m. and 1 a.m., from Thursday afternoon onwards (depending on arrival time of crew members).&lt;br /&gt;
* Between 1 a.m. and 8 a.m., please contact Security, who will contact a member of the PW team.&lt;br /&gt;
* In order to maintain confidentiality, we only ask for basic details over the radio. This will help us assess the support needed.&lt;br /&gt;
* Please be careful not to offer, or suggest, support to participants that PD might not be able to provide.&lt;br /&gt;
* We will usually meet the participant outside GOD. We may ask you to stay with the participant until we get there if they are distressed.&lt;br /&gt;
* If there is an issue that prevents the participant from getting to GOD, let us know. We will arrange to meet you and the participant in the IC area.&lt;br /&gt;
* If you suspect the participant is drunk, on drugs, or a risk to others please call Security. Security will contact us if appropriate.&lt;br /&gt;
* If a participant has medical issues that need to be addressed, please contact the First Aid team. They will contact Participant Welfare if appropriate. &lt;br /&gt;
&lt;br /&gt;
==Event Experience==&lt;br /&gt;
* &#039;&#039;&#039;Please try to ensure that any negative event experience is reported to the appropriate person or to Adam or Erin in GOD&#039;&#039;&#039;&lt;br /&gt;
&lt;br /&gt;
There are a range of possible experiences that players can have that will impact negatively on their event. If a player approaches you to describe a problem they have had or are having - or you overhear them talking about it - please encourage them to bring it to our attention.&lt;br /&gt;
&lt;br /&gt;
Most problems fall into three broad areas: &lt;br /&gt;
&lt;br /&gt;
* Problems with the site facilities, the toilets, the showers, etc should be reported to Alison Pennington or a senior member of the site team.&lt;br /&gt;
* Game problems such as plot inconsistencies or failed conjunctions should be reported to Matt Pennington (or Andy Raff or Graeme Jamieson or Clare Evans if Matt is not available).&lt;br /&gt;
* Administration problems such as resources missing from a pack should be reported to Erin Knott or Adam Dinwoodie in GOD.&lt;br /&gt;

We organise our crew into departments, with crew allocated to departments, based on their roles at the event. Each department has a head who confirms crew spaces for their department. If you want to volunteer for crewing then it&#039;s useful to tell us what departments you&#039;d like to help out in. If you are an existing crew member and you want to get involved with the work another department are doing, then the head of that department is the first person to speak to about it.&lt;br /&gt;

Some departments, like the red hats (site crew), comprise multiple specialist teams such as set-dressing, tent-erection and sparkies. If you want to help out on any team, just talk to the head of the team involved.&lt;br /&gt;

When you arrive on site, your first job is sorting out your own shelter and sleeping arrangements. If you are arriving early, ask any member of crew for directions to where you should be pitching. Once the Gate and Traffic teams are up and running, they&#039;ll direct you. The out-of-character camping area is typically divided into sections: player camping and crew camping. Crew camping is exclusively for the use of crew; players are not permitted to camp there. If you&#039;re camping with friends or family who are players, then it is better to camp with them in the player area.&lt;br /&gt;
&lt;br /&gt;
Once you are set up, check in with your team leader to let them know you&#039;re on site. If you&#039;re not sure where to find your team leader, ask GOD or any radio holder to help you track them down.&lt;br /&gt;
&lt;br /&gt;
A few days before the event, you should receive an e-mail telling you how to collect your meal tickets and character pack -- depending on your team, you might need to pick them up from your team leader or from GOD. You will be able to pick up your meal tickets before dinner on Thursday, wherever you&#039;re getting them from. Crew character packs are not available to collect until GOD opens for player pack handout, usually on Thursday evening.&lt;br /&gt;

==T-shirts==&lt;br /&gt;
Each year, a new crew t-shirt design is available (usually, but not always, at E1). All crew are encouraged to take and wear one shirt per year. Once they&#039;re on site, t-shirts are available from GOD -- use the crew entrance.&lt;br /&gt;
&lt;br /&gt;
Once you are flagged as crew in the PD database, there is a section in &amp;quot;Edit Account Details&amp;quot; to enter your preferred style and size of t-shirt. Please fill this out so we can order the right t-shirts!&lt;br /&gt;

If you join the crew during a year, ask GOD if there are any t-shirts remaining.&lt;br /&gt;

On the evening of the final day of the event, after all the players have departed, there is a party laid on with free food and drink. The party is a reward for those who stay to help with the event take-down. Everyone who has helped with taking the event down is welcome to attend the party. This is not just the red hat team - there are roles anyone can help with on take-down - please ask a head of department if you want to help with take-down but don&#039;t know what you can do to help.&lt;br /&gt;

If you are an existing crew member and you want to get involved with the work another department are doing, then the head of that department is the first person to speak to about it.&lt;br /&gt;

Some departments, like the red hats (site crew), comprise multiple specialist teams such as set-dressing, tent-erection and sparkies. If you want to help out on any team, just talk to the head of the team involved.&lt;br /&gt;

Crew Protocol is a set of rules designed to provide the desired approach that we would like crew to use for a range of important situations. There is a lot to learn as a member of PD crew - but this protocol covers some of the most important general principles.&lt;br /&gt;

There will often be situations where you are asked a question that you do not know the answer to by players or another member of crew. In these situations it is really important not to guess the answer. Many crew are keen to be as helpful as possible - and there is an assumption that making a best guess will help the questioner.&lt;br /&gt;
&lt;br /&gt;
The problem is that wrong answers can cause havoc - in the past we had an instance where a disabled player was told there was no accessible toilet on site, because the person they asked wasn&#039;t aware there was one. Almost invariably a wrong answer in these circumstances is worse than no answer at all. So please, if you are not certain of the answers you are giving then &#039;&#039;&#039;do not guess&#039;&#039;&#039;.&lt;br /&gt;

===What you should do===&lt;br /&gt;
The ideal approach to handle a question you don&#039;t have the answer is to ask your head of department. They should be available on a radio and they should hopefully be able to tell you the answer - or help you find someone who can. If you are working alongside fellow members of crew, then it is worthwhile asking if any of them know the answer. If someone nearby knows the answer - then that is great - but otherwise do not consult a group of people who don&#039;t know the answer to produce the team&#039;s best guess. That is no more helpful than guessing yourself.&lt;br /&gt;
&lt;br /&gt;
If you can&#039;t find your team leader and you can&#039;t locate any member of the crew who can definitively answer the question, then please apologize to the person who asked and explain that you simply do not know the answer. Then try to help them find a member of crew who can answer their questions.&lt;br /&gt;
&lt;br /&gt;
==Do not send a problem to another member of crew==&lt;br /&gt;
You will often be asked to resolve a problem or question that you assume are best dealt with by another member of crew. For instance, you may be asked a question that sounds like a referee issue - a question best answered by an Empire ref. What you should not do is tell the questioner to go and find another member of the team to help them. &lt;br /&gt;
&lt;br /&gt;
There are two problems here. The first is that the questioner may be unable to find the team you are sending them to. New players in particular can find this kind of redirection very intimidating. Second, if you have sent the questioner to the wrong team - they will get redirected again when they arrive. This reflects badly on all of us and annoys the hell out of players. Worse, you can have a situation where the player is being sent back and forth. In the first year we had several cases where NPCs playing Imperial civil servants were sending players to GOD to get answers to questions - where they were met by GOD crew who told them to get answers from the Imperial civil servants in the field.&lt;br /&gt;
&lt;br /&gt;
Obviously if you know from direct experience that a problem is definitely being resolved at GOD, then you can give a questioner direction on how to get to GOD to get help. But in other cases, it is better to follow the advice below.&lt;br /&gt;
&lt;br /&gt;
===What you should do===&lt;br /&gt;
The ideal approach is to get on a radio and locate a member of crew who confirms that they can answer the question or help the questioner. You are looking for another member of crew who is saying &amp;quot;Yes, I can sort that, send them to me&amp;quot;. Once you have that, you can give the questioner instructions on how to locate that member of crew. If you are not near a radio, then ideally you should go with the player and help them find a member of crew who can help or who has a radio and can find someone who can help.&lt;br /&gt;

Welcome to the crew organisation section of the Wiki. Here you will find a list of teams for the Empire game system, listing what each team does and who is in charge. Don&#039;t hesitate to get in touch with a team leader if you are interested in volunteering for the work they do.&lt;br /&gt;

==Site and Safety Crew==&lt;br /&gt;
The set-up crew help us get the event ready by putting up tents, setting up the electrics, etc. Those who are helping with set-up need to be on site roughly two days before time-in. Those who are helping with take-down need to be on site until roughly one day after time-out. We aim to complete take-down by nightfall the day after the event.&lt;br /&gt;
&lt;br /&gt;
If you are part of the set-up crew then you are encouraged to get involved and take part in crewing the rest of the event, but if you prefer to play then you are welcome to do that instead. Bear in mind though that you might be called on during the event to help with the set-up for the battles and so on.&lt;br /&gt;

This team includes those whose primary responsibilities are safety based - like the weapon check team.&lt;br /&gt;

It is really important to us that your volunteer experience is enjoyable and rewarding not just because we depend on our crew for so much but because the only ethical basis on which a commercial company can run events using a volunteer crew is if the crew enjoy the events too.&lt;br /&gt;

Please remember that you come to events to enjoy yourself. When you talk to players, remember that you will be seen as a representative of Profound Decisions, so be as polite and positive as you can. ==Hot Weather Advice==&lt;br /&gt;
If the weather is particularly hot, you must ensure that you stay hydrated by drinking plenty of water throughout the day. You should also wear sunscreen, to protect yourself from burning, and you should also ensure that you take in enough salt with your food in order to replace that which is lost through sweating.  If you start to feel ill, you should seek advice from First Aid.&lt;br /&gt;

==Problems==&lt;br /&gt;
Your department head should normally be your first contact in the event that you have any issues.  If, for whatever reason, you would like to speak with somebody else, then any of the Crew Welfare team will be happy to assist.&lt;br /&gt;

If you (or anyone else) develops a medical or health problem, then you should contact the duty First Aid medic for assistance and guidance. A supply of sundry medicines is available from Crew Welfare, including paracetamol, ibuprofen, sunscreen and antihistamines.&lt;br /&gt;

If you are a radio user and hear this call then please stop what you are doing and move to the emergency location to provide assistance.&lt;br /&gt;

If you are summoning help via radio, you need to ensure that the nature and location of the emergency is clearly communicated, and to remain available on that radio channel until aid arrives.&lt;br /&gt;

You should not call 999 for a emergency, the decision to call the emergency services will be made by the relevant team leader or their nominated deputy. The only exception to this rule is if an emergency is so immediately serious that any delay to summoning the emergency services would place the casualt(ies) at greater risk.&lt;br /&gt;

===Medical===&lt;br /&gt;
Profound Decisions employ a professional team of first-aid providers to cover our events. In the event of a medical emergency you should summon an emergency medic from their First Aid post near GOD. If any participant asks for your assistance in obtaining first-aid then please take the time to escort them to the first-aid post, or fetch the first-aid team to them if they cannot move.&lt;br /&gt;

===Fire===&lt;br /&gt;
In the event of a fire emergency, then you should summon help from site-crew. Do not place yourself at personal risk; tents and sets are expendable, you are not. Do what you safely can to limit the spread of the fire, and move nearby people to safety, but do not attempt to fight the fire yourself.&lt;br /&gt;

===Security===&lt;br /&gt;
In the event of a security emergency, you should summon security assistance from the site security team. Do not attempt to deal with a security situation yourself, at most you should act to ensure that any situation is contained. &lt;br /&gt;

===Major Incident Response===&lt;br /&gt;
A major incident is an emergency which requires a large-scale coordinated response from crew. In the event a major incident is declared, the game will be suspended or abandoned in order to deal with whatever large-scale emergency in progress. All radio users should switch to the general site radio channel (Channel 1), make their immediate area safe, and await instructions.&lt;br /&gt;
&lt;br /&gt;
Radio communications are critical during major incidents. Please take particular care to minimize unnecessary communication, and ensure that all messages are clear and concise.&lt;br /&gt;
&lt;br /&gt;
Instructions will be issued by radio by the team coordinating the emergency response: either first aid or security, depending on the nature of the incident. This may include direction to make announcements to players and crew in your immediate vicinity, to evacuate a particular area of the field, or to muster at a particular location to receive further instructions.&lt;br /&gt;
&lt;br /&gt;
==What to Bring==&lt;br /&gt;

* Work-clothes &amp;amp; waterproof layer (suitable for operating for extended periods in potentially unpleasant weather)&lt;br /&gt;

* Strong Footwear (sturdy, waterproof work boots with good ankle support are very strongly recommended)&lt;br /&gt;

** 9L RUB with appropriate inserts are best used for small items (you can combine small items and valuables into a single container)&lt;br /&gt;
** Bread crates are best used for everything else (that will fit in them). It usually works out well to sort them as drinking vessels and lights, short weapons/latex, leather/armour/protective gear, and misc.&lt;br /&gt;
** Arrows, long weapons, and other long objects should be stored in bins.&lt;br /&gt;
* Identified lost property should be tagged or labelled with a PID or name. Crates marked with a rainbow of ribbon contain IDed lost property.&lt;br /&gt;

* This event&#039;s lost property goes into the crate last, so we can keep handing things back until the bitter end.&lt;br /&gt;
* Try to check every single item for PIDs or other identifying labels before sorting them into containers. If you&#039;re not able to, make it clear which boxes have been checked and which haven&#039;t.&lt;br /&gt;
* Sort objects where you know there&#039;s a matching report into their own box.&lt;br /&gt;
* For objects where you think there might be a matching report, take photographs.&lt;br /&gt;
* This is a point at which people often pop up asking if there is anything they can do to help. Set them to sorting arrows.&lt;br /&gt;

=Detailed processes=&lt;br /&gt;

There are two main workflows plus some auxiliary bits.&lt;br /&gt;
&lt;br /&gt;
==Incoming==&lt;br /&gt;
When a new object is handed in:&lt;br /&gt;
# If the person handing it in found it in an IC area of the field, and wishes to keep hold of IC valuables:&lt;br /&gt;
## note their PID and name&lt;br /&gt;
## note the location where they found the object&lt;br /&gt;
## note what they looted (on a &amp;quot;found property&amp;quot; envelope if the object fits inside it, or on a price tag if it doesn&#039;t)&lt;br /&gt;
# Place the item in the inbox/box of unsorted new lost property. (Realistically, you won&#039;t always be able to keep up with the rate that new objects come in.)&lt;br /&gt;
# Work out whether it is possible to ID the owner&lt;br /&gt;
#* does it have a PID or name indicating an owner written anywhere on it? (use the UV torch; if it’s a phone, there might be useful info in the emergency contacts; even if all it has is initials, make a note of that because we might be able to shake the details out of the database)&lt;br /&gt;
#* does it have a ribbon attached to it? (write down the ribbon ID on a price tag or similar and attach the tag to the item immediately)&lt;br /&gt;
#* does it have any other names written in it? (e.g. promissory notes, notebooks that are clearly linked to a specific in-game group, …)&lt;br /&gt;
#* does it match any open lost property reports?&lt;br /&gt;
# If the owner can be identified, move over to the &#039;&#039;outgoing&#039;&#039; process.&lt;br /&gt;
# If the owner can&#039;t be identified, prep the object for storage:&lt;br /&gt;
#* attach a ribbon to the object (in the colour corresponding to the event the item was lost at)&lt;br /&gt;
#* for valuable but non-IDable items, fill out a &#039;&#039;found property&#039;&#039; envelope and place the item within it in a dedicated container (use your initiative if the item is too large to fit in an envelope)&lt;br /&gt;
# Sort the item into an appropriate container&lt;br /&gt;
&lt;br /&gt;
Prioritise getting valuable items where the owner is identifiable through the &#039;&#039;outgoing&#039;&#039; process over everything else -- players are generally very understanding about waiting if you explain that someone&#039;s wallet has just been handed in and you want to let the owner know ASAP!&lt;br /&gt;
&lt;br /&gt;
==Outgoing==&lt;br /&gt;
This section is made up of several similar jobs.&lt;br /&gt;
&lt;br /&gt;
&#039;&#039;&#039;If you have an item that is valuable, or where the owner is identifiable&#039;&#039;&#039; (because there&#039;s a report ticket or the object is labelled in some way):&lt;br /&gt;
# If necessary, look up the owner&#039;s details (e.g. carry out a player search to find out the participant&#039;s PID).&lt;br /&gt;
# Attach the owner&#039;s PID to the object, and place it in the appropriate &#039;&#039;IDed lost property&#039;&#039; container.&lt;br /&gt;
#* For most objects, you can use a price tag.&lt;br /&gt;
#* For small valuable objects, fill out a &#039;&#039;Found property&#039;&#039; envelope.&lt;br /&gt;
# Locate the lost property report, if there is one.&lt;br /&gt;
# Contact the owner using the GOD phone or a PD e-mail account.&lt;br /&gt;
#* For some valuable objects, it&#039;s appropriate to radio for the participant&#039;s nation&#039;s egregore. This should be a last resort, and is usually only necessary for phones.&lt;br /&gt;
#* If you can&#039;t see people&#039;s contact details in the database, and there isn&#039;t contact information on the report slip (if it exists), get Alex, Erin or Adam to look up contact details.&lt;br /&gt;
# If there&#039;s a lost property report:&lt;br /&gt;
## On the ticket, note the time that the object was handed in/processed.&lt;br /&gt;
## Note the time that the participant was contacted, along with how they were contacted.&lt;br /&gt;
## Move the ticket from the event reports booklet to the found objects booklet.&lt;br /&gt;
&lt;br /&gt;
For valuable items where it&#039;s possible to identify the owner, prioritise this workflow over any other tasks. &lt;br /&gt;
&lt;br /&gt;
&#039;&#039;&#039;If a participant has a “lost property to collect” stamp on their pack:&#039;&#039;&#039;&lt;br /&gt;
# Check the big list. This should give you a rough idea of what you&#039;re looking for. Rummage through the boxes/bins of IDed lost property until you find the item, which should be tagged with the player’s PID. if something is on this list, it’s because Alex has actually held it in their own personal hands – if you can’t find it, get the player to wait while you grab either Alex or Erin.&lt;br /&gt;
# Hand over the item, removing any lost property ribbons (and ideally the price tag).&lt;br /&gt;
# Tick the &amp;quot;collected&amp;quot; box next to the item on the printed list.&lt;br /&gt;
# Ideally: mark any report slips with “returned”, and move the completed slip to the Done box.&lt;br /&gt;
&lt;br /&gt;
&#039;&#039;&#039;If a participant has an &amp;quot;arrows to collect&amp;quot; stamp on their pack:&#039;&#039;&#039;&lt;br /&gt;
# Ask whether they&#039;re bolts or arrows.&lt;br /&gt;
# Check the list for the number of arrows (and broken parts) you&#039;re looking for.&lt;br /&gt;
# Check the arrows catalogue so you know what design you&#039;re looking for.&lt;br /&gt;
# Check the appropriate arrows bin - inviting the player to help is fine.&lt;br /&gt;
# If the player has broken bits but doesn&#039;t want them, move them to a dedicated container for humane disposal.&lt;br /&gt;
# Tick the arrows off the list!&lt;br /&gt;
&lt;br /&gt;
&#039;&#039;&#039;If a participant describes an object that has already been handed in:&#039;&#039;&#039;&lt;br /&gt;
# Ask them to describe it in enough detail you&#039;re confident the one you have is theirs.&lt;br /&gt;
#* For valuables, this might include describing the type of bank card or the lock screen photo on a phone. For phones, ask them to unlock the screen in front of you if relevant.&lt;br /&gt;
# Hand it over!&lt;br /&gt;
# Bonus points: click the clicker.&lt;br /&gt;
&lt;br /&gt;
&#039;&#039;&#039;If a participant describes an object that might have been handed in:&#039;&#039;&#039;&lt;br /&gt;
# Ask them to describe it in enough detail that they can&#039;t just go &amp;quot;yep, that one, that one is definitely mine&amp;quot; about whatever in the box takes their fancy.&lt;br /&gt;
# Check which event they lost it at.&lt;br /&gt;
# Bring the relevant storage box over to the front desk. Don&#039;t let them rummage indiscriminately, but do let them watch as you go through it.&lt;br /&gt;
# If we have their object, hand it over!&lt;br /&gt;
# Bonus points: click the clicker.&lt;br /&gt;
&lt;br /&gt;
&#039;&#039;&#039;If a participant is reporting a lost object that is not yet in our possession:&#039;&#039;&#039;&lt;br /&gt;
# Once you&#039;ve gone through the relevant boxes with them, fill out a lost property form.&lt;br /&gt;
#* Offer to do the writing yourself -- this lets you ensure you can read the report, and that there&#039;s sufficient detail.&lt;br /&gt;
# Get &#039;&#039;both&#039;&#039; name and PID, so we can cross-reference in case one of them is ambiguous or incorrect!&lt;br /&gt;
# Get contact details -- this means people who don&#039;t have access to contact details in the PD database can still contact players using the GOD phone, and people who do don&#039;t have to spend time looking them up.&lt;br /&gt;
#* Ideally, get a phone number -- anyone can use the GOD phone, but not everyone has an @pd e-mail address.&lt;br /&gt;
#* If the thing they&#039;ve lost is their phone, ask if there&#039;s someone else on the field we can get in touch with, who&#039;ll know where to find them. (You&#039;ll almost certainly need to look up their contact number.)&lt;br /&gt;
#* Reassure them that we&#039;ll text, not call!&lt;br /&gt;
# Get as much description as you can -- you will probably need to prompt them.&lt;br /&gt;
#* Drawings are &#039;&#039;enormously&#039;&#039; helpful. Even if they&#039;re &#039;bad&#039;, they&#039;ll emphasise the most distinctive features of the object!&lt;br /&gt;
#* Ask the player to e-mail in any photos they have to lostproperty@.&lt;br /&gt;
# Move the form to the appropriate section of the booklet (preferably organised by PID).&lt;br /&gt;
#* OOC valuables include (but are not limited to) medication, wallets, phones, mobility aids, non-costume jewelry, and emotionally significant objects including stuffed toys.&lt;br /&gt;
# Explain what to expect to the participant:&lt;br /&gt;
#* We&#039;ll do our best to get in touch as soon as possible after we realise we&#039;ve got the object.&lt;br /&gt;
#* We&#039;re not infallible and we&#039;re often running several hours behind on contacting people -- if you&#039;re passing GOD, please feel free to stop by and double-check whether your thing has shown up yet.&lt;br /&gt;
#* If the item turns up, we&#039;d love to know. (Emphasise this for valuables!)&lt;br /&gt;
#* We&#039;ll keep the report for a year.&lt;br /&gt;
&lt;br /&gt;
==Arrows==&lt;br /&gt;
* Arrows: wait until the post-battle rush has died down before you start sorting. You want to be able to tell people &amp;quot;everything from this morning is in &#039;&#039;this&#039;&#039; bin&amp;quot; or &amp;quot;everything marked with a PID over 12000 is in &#039;&#039;this&#039;&#039; bin&amp;quot;, to minimise the number of containers they need to sort through to find their stuff.&lt;br /&gt;
* Arrows: have the end of the arrow with the IDable features uppermost. If the only place the arrow is marked is on the fletches, have them head-down in the bin with their fletchings at the top.&lt;br /&gt;
* It would be lovely if we could maintain a record of where each item was found. We haven&#039;t yet worked out a good way to do so. Ideas welcome!&lt;br /&gt;
* Arrows (sorting): grab an empty bin and a notebook. Write yourself headings. Grab an arrow, write down the PID associated with it, make a tally mark, and move it to the empty bin. Try to keep PIDs clustered in clumps -- all the 12000s in the same rough list, for example. At the moment bins usually want separating out into PIDs &amp;lt; 10000, PIDs between 10000 and 13000, and PIDs over 13000.&lt;br /&gt;
&lt;br /&gt;
=Between events=&lt;br /&gt;
&lt;br /&gt;
Immediately before an event:&lt;br /&gt;
* make sure that everything in the IDed property boxes is in the spreadsheet of things to give back  &lt;br /&gt;
** sometimes objects people recognise will get dumped in the IDed property box without tags, and will need matching back up with their report. this most frequently happens with stuff handed in late on Sunday.&lt;br /&gt;
* sort the arrows  &lt;br /&gt;
* go through all lost property booklets and all lost property storage&lt;br /&gt;
** first go through the objects from the previous event&lt;br /&gt;
** you then have two options: if you&#039;ve got lots of time, go through all the crates in order from most to least recent (ideally you want one person doing all of this so you can spot objects that were found/handed in late); if you haven&#039;t, prioritise the least recent event i.e. the one that&#039;s going to go out on freecycle  &lt;br /&gt;
* reconcile handed-in property with lost property reports&lt;br /&gt;
&lt;br /&gt;
&#039;&#039;&#039;TODO:&#039;&#039;&#039;&lt;br /&gt;
* Logging details of lost property&lt;br /&gt;
* Reconciliation of handed-in found property with lost property records&lt;br /&gt;

=Notes &amp;amp; advice=&lt;br /&gt;
* Pre-punch a pile of lost property slips and keep them at the very front of this event&#039;s booklet. Use a bookmark to keep your place between the last filled and first empty slip. This way the slips *are* all in the book, even if they&#039;re coming in too fast to file appropriately.&lt;br /&gt;
* The mud sometimes disgorges things long after they were lost. It&#039;s definitely worth checking booklets for lost property reports for events before the one you&#039;re currently at.&lt;br /&gt;
* &amp;quot;Please don&#039;t rummage/talk to me first; you&#039;re probably looking in the wrong place&amp;quot; is always awkward to say, but participants &#039;&#039;do&#039;&#039; generally respond positively when they then get to the front of the queue and you can explain that there&#039;s no way the thing they&#039;re looking for would have been in the place they were looking for it (our organisation system is not usually particularly comprehensible from the outside!)&lt;br /&gt;

====Behind the scenes====&lt;br /&gt;
&lt;br /&gt;
We know that from the outside lost property often looks like a chaotic jumble – so we want to tell you a bit more about how the system works!&lt;br /&gt;
&lt;br /&gt;
When you tell us you&#039;ve lost something, the first thing we do is look through items we&#039;ve had handed in. These are organised by the event they were lost at and the type of item – if you lost a goblet two events ago, we&#039;ll grab the box of drinking vessels that were handed in two events ago and go through it with you. We&#039;ll also double-check the boxes from more recent events, because items sometimes get found in the woods/other people&#039;s kit bags/the Academy storage container quite a while after they went missing!&lt;br /&gt;
&lt;br /&gt;
If we don&#039;t have your item, we&#039;ll ask you to fill out a lost property form with us, even if you don&#039;t think it&#039;s worth it – it&#039;s incredibly frustrating to have something handed in and realise we know &#039;&#039;exactly&#039;&#039; who it belongs to, but didn&#039;t get them to leave their details! We keep these reports for a full year.&lt;br /&gt;
&lt;br /&gt;
When items are handed in, we check whether we can ID their owner. This means that we look for a PID, name, or contact details, or even initials – in normal light and using a UV torch. We also check whether they seem like any of the lost property reports we have on record. If we find a match, we&#039;ll get in touch (via a text message from a PD phone, or e-mail) as soon as we can. This does sometimes take a while and we don&#039;t always realise when something that&#039;s been handed in matches a description, so even if we haven&#039;t contacted you, please do feel free to swing by to check any time when full lost property service is open!&lt;br /&gt;
&lt;br /&gt;
In addition to matching up missing property reports with lost items during events, we are sometimes able to spend a few days before an event sorting through lost property. This lets us thoroughly double-check everything we have in storage against all lost property reports from the last four events – this means that we try to check every single piece of lost property from each event at least four separate times. If we find something we think belongs to you, we&#039;ll do our best to let you know by e-mail, and we&#039;ll stamp a reminder that there&#039;s something for you to collect (or inspect) on your character pack. Again, if we don&#039;t get in touch it doesn&#039;t mean we definitely don&#039;t have your stuff – it just means we haven&#039;t recognised it!&lt;br /&gt;
&lt;br /&gt;
When we return an item, if it&#039;s not already got your details on we&#039;ll encourage you to label it with identifying information, e.g. your PID or your name. If it comes in again, we&#039;ll be able to get it back to you faster.&lt;br /&gt;

All identifiable and valuable property should be returned to a player ASAP, by contacting the player themself, the nominated contact for their banner/coven/sect, or -- if necessary -- their nation’s Egregore, usually by [[Radio protocol|radio]]. &lt;br /&gt;

* A5 arrows catalogue.&lt;br /&gt;
* A5 booklets for lost property slips, organised on a per-event basis. Currently these are discbound notebooks, with the binding discs and the laminated covers in (roughly) the same colour as the ribbon for each event. At time of writing each book is divided into six sections: OOC valuables, arms &amp;amp; armoury, jewellery, soft kit, bags &amp;amp; boxes, and miscellaneous.&lt;br /&gt;
* Lost property slips. A5, low-weight paper. The easiest way to manage these (that we&#039;ve worked out so far) is to have a stack pre-printed and pre-punched, sitting in the very front (i.e. before the first divider) of the current event&#039;s booklet.&lt;br /&gt;
* Found property envelopes (C5) to put valuables into and record what steps have been taken to identify and contact owners.&lt;br /&gt;
* UV marker.&lt;br /&gt;
* Sharpie.&lt;br /&gt;
* Biro.&lt;br /&gt;
* UV torch.&lt;br /&gt;
* Price tags, for recording locations where objects were found and labelling IDed items that don&#039;t fit in envelopes.&lt;br /&gt;
* Hole punch. As of 2024, using Alex&#039;s Atoma disc binding punch.&lt;br /&gt;

We&#039;ll also double-check the boxes from more recent events, because items sometimes get found in the woods/other people&#039;s kit bags/the Academy storage container quite a while after they went missing!&lt;br /&gt;

If we don&#039;t have your item, we&#039;ll ask you to fill out a lost property form with us, even if you don&#039;t think it&#039;s worth it – it&#039;s incredibly frustrating to have something handed in and realise we know &#039;&#039;exactly&#039;&#039; who it belongs to, but didn&#039;t get them to leave their details! We keep these reports for a full year.&lt;br /&gt;

Monster get first dibs, followed by GOD, followed by a free-for-all. Lost property items are labelled, ribbon colour-coded and stored according to the event at which they were handed in. &lt;br /&gt;

All valuable lost property (jewellery, watches, wallets, phones, iPads &amp;amp;c.) should be logged by a department head and kept in a secure location.&lt;br /&gt;
All identifiable and valuable property should be returned to a player ASAP, by contacting the player themself, the nominated contact for their banner/coven/sect, or -- if necessary -- their nation’s Egregore, usually by [[Radio protocol|radio]]. &lt;br /&gt;

&lt;div&gt;If you’re dealing with a query of any sort, and either sending the player away or sending them to talk to one of the heads of department, you need to write this down on one of the pre printed forms, and put that form in the relevant inbox. This reduces the risk of players waiting around forgotten, or of them needing to come back multiple times for the same issue.&lt;br /&gt;

A ticket should at any given point be in one of a number of boxes. * The current time and date&lt;br /&gt;
* Any other involved PIDs or ribbon IDs&lt;br /&gt;
* A description of what needs doing to resolve the query&lt;br /&gt;
&lt;br /&gt;
2. Is someone currently triaging query sheets?&lt;br /&gt;
* If there is:&lt;br /&gt;
(a) Pass the sheet to them and give them a chance to review it.&lt;br /&gt;
&lt;br /&gt;
(b) They’ll make a quick call about what needs to happen next, including where to file the ticket and whether&lt;br /&gt;
to ask the player to come back later or to wait while we fix things.&lt;br /&gt;
&lt;br /&gt;
* If there isn’t:&lt;br /&gt;
(a) If the issue is urgent, ask the player to wait and put the ticket in the “HoD Player Waiting” box.&lt;br /&gt;

1. Check the various ticket outboxes. If the ticket is in an outbox, that should mean we’ve done as much as we can with it; hopefully there will be a final result attached, but it might be that we need more information. Check what the ticket says and handle accordingly.&lt;br /&gt;

2. Check the other ticket-in-progress boxes. If you can find a ticket but it’s not in an outbox, that means we’ve not finished handling the ticket. Consider whether the ticket is still in the right place, make sure the notes are up-to-date (&#039;&#039;including that the player has returned&#039;&#039;) and consider moving it to the “HoD Player Waiting” box for us to handle ASAP.&lt;br /&gt;

==Overview==&lt;br /&gt;
One of our core goals for Empire is to encourage a rich immersive game - one in which everything looks as in-character as possible with as few elements that are visually disruptive as possible. This means that crew need to make an effort to blend in when they are in an IC area during time-in where possible.&lt;br /&gt;
&lt;br /&gt;
Obviously our refs need to be identifiable - so that people can recognize them when they need to. We have special yellow/black jackets and tabards for this purpose. A few need to be in the IC area but indicate that that they are clearly not there. We use red/black jackets for this purpose. In all cases these should be worn over base costume where reasonably possible. The jackets cover much better than the tabards but in either case a pair of IC trousers is ideal and plain dark trousers and footwear is preferable if not.&lt;br /&gt;
&lt;br /&gt;
Crew involved with safety - for example members of the pyro-team who are handling dangerous pyrotechnics or members of the first-aid team - should wear a suitable hi-vis jacket.&lt;br /&gt;
