Overview

The camp planner is the Profound Decisions member of crew responsible for the layout, security, and tidiness of a nation's camp.

Responsibilities

Camp Planning

The camp planner will liaise with the players in their nation and with the other camp planners to create the intended camp layout for the event. This will include planning where any rented tents go, making sure players are aware of accessibility options, and making sure members of the PD team are informed of any accessibility needs that players have raised.

Camp Organisation

Camp planners need to be on site from noon on Thursday at the latest so that they can direct players to the relevant spot. They will work with the site team to ensure that rental tents are in the right spot, to deal with any minor problems, and to report in any major site problems before or during the event.

Cleanliness

We need the players to clean up after themselves before they leave site. Free bin bags are available from PD at any time, so there are no excuses for groups not to clean up round their camp. If they can put the bags in the skip, they should, but if they can't they need to leave them in one pile next to their camp.

We need our camp planners to be part of the team responsible for remding our players of their responsibilty as well as providing them with bin-bags and letting them know where the skips are. The best time to remind people is after time-out on Sunday, but it can also be at the start of the weekend, when players are checking in with camp planners. Any method that is effective at passing a reminder round the camp is fine.

Chain of Command

During set-up and or take-down, the camp planner should refer any problems they experience to the head of the site team or to Alison Pennington if it is a major emergency. During the event they can report any concerns to Alison Pennington or Matt Pennington (as appropriate) during the day or to Steve Tiernan, the head of security during the night.

In-character Limitations

The camp coordinator is an event crew role, so they are covered by all the existing limitations for site crew. We expect the camp planner to be in-character and be able to roleplay freely for most of the event. This means they are expected to support the game but they are allowed to break Imperial laws and to accept an Imperial title. Camp planners who are politically active in their nation must take care not to abuse their role and implicit authority to enhance their in-character position.
